Phangela Group welcomes the incorporation of Key Performance Indicators to evaluate our service delivery to our clients. In fact, where our clients do not already have this in place, we encourage the implementation of a measurable plan

All our Management Representatives operate on monthly KPI evaluations to ensure that we measure our service delivery, not only to our clients but also internally against our own set parameters. Our Supervisory staff and Security personnel on-site are evaluated monthly on set KPIs and incentivized according to the scores they achieve.

 

MEASURED MANAGEMENT

We acknowledge that our staff are our most valuable commodity. We consider our staff functional experts, and therefore all Management applications have been aligned so that our Management efforts are focused on our staff members on-site, and how we can enable and support them to produce the necessary results for our clients and the future of our company.

Our Management approach entails that a portfolio of contracts is grouped together based on the type of contract. We employ sector specialists that are able to add value to all our clients in their specific fields of expertise. These sectors operate with dedicated Controllers, Drivers, and Operations Coordinators that are not only knowledgeable in their specific field but more importantly, well informed of clients’ operations.

All expectations are measured via our EMS that has GPS locality functionality that ensures Management comply whilst on site. Our Internal Auditor measures business model compliancy to ensure our clients receive a fair trade at all times. All Management visits are measured in accordance with our carefully calculated routes and need rosters. Management visits include formally documented interaction with all personnel, this ensures that personnel are measured and trained simultaneously. Our unique and innovative Flashcards is a linear-based information system that allows Security Officers to have in-depth site knowledge on hand as part of their uniform.

The support structure ensures that all our Operations Managers are able to spend time on our clients’ premises. We are acutely aware that Management presence contributes to our success and have therefore created a business model in which Management has a strong support structure.

COMMUNICATION

Our Security Officers on site each have a radio to communicate with our Management in the area and the centralised National Control Room. This is used to communicate necessary booking on-duty information and incidents, which, in turn, are captured on the Event Management System (EMS).

Our Online Management Systems will generate regular service status reports in the form of daily-, weekly-, as well as individual incident reports. This can be set to satisfy the requirements of the client.

Daily/weekly/monthly service meetings are part of the operational design, and operational matters, concerns, risks, and plans are formally communicated and recorded at this meeting between Phangela Group and our client.

The application is typically applied to the Security Guarding environment, but can be extended to incorporate most activities related to the management of sites.

EMS makes provision for the integration with other systems, like alarm monitoring systems, using industry-standard infrastructure. It can be modified and adapted to fit into almost any control room environment.

The system interfaces with users on all levels and accordingly has a set of rules to guide the user through mandatory fields to correctly capture occurrence data. The process ensures the integrity of the data and speeds up the capture time. Through access levels within the system, a management workflow structure is supported and allows for the different levels of users to only access dimensions relevant to their functional levels.

SYSTEM (EMS)

EMS is an integrated application system that is used to capture and manage occurrence information in any environment where manual occurrence books are normally used.

EMS ESCALATION PROCEDURE

To ensure that occurrences are treated in accordance with their severity, individual occurrence types can be linked to unique and customisable escalation procedures.

Once a user logs an occurrence of a specific occurrence type, a response must be submitted for each of these escalation steps. This response automatically records date and time, as well as the user’s name. Using escalation procedures, accountability can be established and management reports can be generated.

Event statuses can be monitored to identify occurrences that have not been completed in accordance with the prescribed escalation procedures. EMS can automatically inform users or non-users when certain types of events occur.

Depending on the severity of the event being loaded, electronic notifications via email or SMS can be sent to a predetermined list of users or clients.

MANAGEMENT INFORMATION

EMS integrates all data stored within the various dimensions of the application and transposes it into management information in both text and graphical formats, allowing the user to build managerial reports.


Graphs generated can be saved and incorporated into reports generated by analysts in almost any word processor. These reports can, in turn, be used by Management for planning and decision-making purposes.

 

SEARCH & ANALYSIS

Historically, any search through an occurrence book meant a tedious and manual exercise of trying to decipher the relevant information. With EMS, searches can be conducted efficiently within all fields to extract specific, valuable information contained within it.

Phangela offers a unique solution for each property after completing a full report, including a risk analysis completed by their security specialists. We only use the latest technology, providing a superior offering in conjunction with a dedicated Security and Guarding Service.
